    Secretarial

    ·

    Record and maintain all records of the Owners Corporation including Minutes of meetings, Owners Corporation Register, records of accounts, correspondence files and notices, etc.

    ·

    Attend to correspondence and enquiries from solicitors, prospective purchasers, mortgagees, real estate agents, Owners Corporation members, etc.

    ·

    Lodgement of documents as required by the Registrar of Titles and the Australian Taxation Office.

    ·

    Maintain all registers as required under the Owners Corporations Act 2006.

    ·

    Prepare Owners Corporation documents as required under the Act including Owners Corporation Certificates.

    ·

    Process matters under the Owners Corporation Dispute Resolution Process as contained in the Owners Corporation Rules.

    Accounting

    ·

    Invoice and process fees and levies including instigating debt recovery.

    ·

    Process all creditors accounts for payment.

    ·

    Prepare annual financial statements of Income and Expenditure plus a yearly budget to cover forecasted expenditure.

    Meetings

     

    Call and attend Annual General Meetings and Extraordinary Meetings including the preparation and circulation of documents to members, preparation of Agenda, attend and chair meetings as required, record and distribute minutes, act upon and follow through resolutions of the meetings.     Insurance

    ·

    Deal with all insurance matters in accordance with the Financial Services Reform Act.

    ·

    Arrange insurance on behalf of the Owners Corporation as required under statute and as instructed by the members.

    ·

    Assist in the processing of insurance claims.

    Maintenance

    ·

    Assist in maintaining the property by arranging repairs and maintenance, cleaning and gardening as requested by the Owners Corporation.

    ·

    Validate invoices and pay contractors and tradespeople.

    ·

    Provision of a 24 hour, 7 days per week emergency maintenance service.

    ·

    Reference to building consultants and experts for complex matters, building defects etc.

    Occupational Health & Safety

    ·

    Assist the Owners Corporation in meeting it’s Occupational Health & Safety obligations with respect to the common property and the contractors who perform work for the Owners Corporation.
